What personal data we collect and why we collect it
Forms
We collect personal information about you and your organisation, such as name, address and contact details via request forms and other data input measures on the site. This includes opt-in forms that you complete to subscribe to our monthly newsletter, the bi-monthly Green Arts Initiative roundup and/or bi-monthly Green Tease update, all of which are sent using the email platform, EcoSend.
Please note that the information you give us is processed in accordance with the Data Protection Act 1998 for the purposes of processing your request or submission, providing you with information about services we offer as Culture for Climate Scotland, and for auditing usage of the site. We will only use the information we have about you for the express purpose that you gave it to us.
Submissions to our website
Our website allows you to promote relevant events, opportunities and news items via a submission form. This information is used and kept in the same way as the information we collect via forms, as noted above.
Events
We also collect information from you when you register, via Ticket Tailor, to attend our events. This information is used and kept in the same way as the information we collect via forms, as noted above.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Embedded content from other websites
Articles on this site may include embedded content (eg videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

We use a company called Google to collect and analyse information about the use of our website. This information helps us to understand how visitors use our website so that we can tailor our services to their needs and expectations. We keep a record of the links that our website visitors access to enable us to find out the type of information of most interest to them. This information is held securely on an anonymous basis and you will not be personally identifiable from this information.

How we use your information
We use the information you provide us for the purpose it was given, eg to keep you informed of Culture for Climate Scotland’s news, events, activities, resources etc. Where relevant and appropriate, we will also share content from other people and organisations.
We do not share your information
The information you provide to us will only be used for the purposes you agree to when giving it to us. We will not distribute, disclose or trade your data with any other party unless you have opted in to do so, we have sought express permission from you to share your data or we are required to do so for legal or regulatory purposes.
How long we keep your information
We do not keep your information for longer than we need to unless we are required to keep it longer (for example due to a court order or investigation by law enforcement agencies or regulators). For example, in the case of recruitment applications, we delete all information related to non-shortlisted candidates within 60 days. Details supplied by shortlisted/interviewed applicants are kept until after the appointed candidate completes their probation period successfully.
We hold your information to achieve our charitable objectives using four of the six lawful bases as described in the Data Protection Act 2018.
These are:
- Consent: The individual has given clear consent for you to process their personal data for a specific purpose (ie newsletters, marketing, recruitment and fundraising).
- Contract: The processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract (event attendance).
- Legal obligation: The processing is necessary for you to comply with the law (not including contractual obligations).
- Legitimate interests: The processing is necessary for using people’s data in ways they would reasonably expect, and which have a minimal privacy impact, or where there is a compelling justification for the processing.
How we keep your information secure
We are committed to ensuring that your information is secure with us and remains confidential and accurate.
In the unlikely event that Culture for Climate Scotland suffers a data breach, we undertake to advise all affected individuals as quickly as possible as to what information has been taken and when. We are registered with the Information Commissioner’s Office (ICO) and follow their guidance around data breach management.

Artificial intelligence (AI)
Culture for Climate Scotland does not use, and does not permit third parties to use, any information or content on our website to train or improve the underlying generative AI or large language models.
We use WordPress as our content management system and have added code to prevent content from being scraped and sold without permission to third parties (including AI models). We use Cloudflare, which has features for blocking AI bots, to further protect our original content.
Culture for Climate Scotland uses Vimeo to host video content and Zoom for events. The default for this content is that no permission is granted for this content to be used by the hosts or third parties to train or improve AI.
